Definitions
Hotel guest room seating refers to every chair, sofa, stool and occasional table placed inside a hotel bedroom or suite for the guest’s use. In the FF&E trade it is also called contract seating, hospitality seating or simply loose furniture, because most of it stands free of the casegoods. It spans two roles — the seating you sit in (armchairs, sofas, desk chairs, ottomans) and the surfaces that serve them (coffee tables and side tables).
The line between residential and contract matters more here than anywhere else in the room. A high-street armchair is engineered for a household of two or three people who sit in it a few hours a day. A guest room armchair in a busy 4-star property is sat in by 300-plus different guests a year — leaned back in, stood on by a child, used as a luggage shelf — for a 10-to-15-year life. Residential foam collapses, residential fabric pills, residential joints loosen. Specifying hotel guest room seating to contract standards from the start is almost always cheaper than replacing residential pieces twice inside the warranty period of a proper one.

Comfort in a guest room is mostly a question of dimensions, and the numbers are tighter than most people assume. A guest room armchair wants a seat height of 45–50 cm (18–20 in) — high enough that an older guest can rise without pushing on the arms, low enough to lounge. Seat depth of 50–55 cm suits a relaxed occasional chair; a desk chair sits firmer and shallower so the guest stays upright at the writing surface. Ottomans are built one or two centimetres below the chair seat so a guest’s legs extend naturally, and the coffee table is set 30–45 cm from the seat front and finished at roughly the same height as the chair seat, so a cup is reachable without leaning out of the chair.
Footprint is the other half of the equation. A standard guest room rarely has space for a full sofa, so the corner armchair plus a slim side table is the workhorse pairing; the sofa and hotel sofa bed belong in deluxe rooms and suites where the floor plan can carry them. Before a single piece is cut, HFC will lay your guest room seating out against the room’s actual dimensions — clearance to the wardrobe door swing, the throw of the curtain, the route from door to bed — so the seating reads as generous rather than crammed. The cheapest mistake to avoid is the one designers make most: ordering an armchair that looks perfect in the showroom and blocks the bathroom door once it is in a real 24 m² room.

The hotel armchair is the defining piece of guest room seating — the seat a guest chooses over the bed for reading, working or a morning coffee. Keep the overall width under 75 cm in standard rooms. A chair that is too deep eats floor space and disrupts flow more than guests realise — proportion beats plushness here.

The working hotel room chair at the desk does more than it gets credit for — business guests judge a room partly on whether they can sit and work comfortably. HFC produces fixed-leg desk chairs without wheels, wooden and fully upholstered, plus side chairs and the dressing-table chair — all built to take daily use without the joints loosening that ruins residential chairs in a hotel. This is the in-room writing chair, not an office task chair.

Seat height of 45–47 cm pairs correctly with a 73–75 cm desk. Mismatched heights are the quiet reason guests abandon the desk and work from the bed instead.

The hotel ottoman is the most flexible piece of guest room seating: footrest one minute, extra seat the next, luggage perch or a tray surface with a topper. Contract vs residential — the difference that decides everything
Residential seating fabric is rated for roughly 25,000 Martindale rub cycles and uses low-density foam that softens fast. A hotel armchair sees 300-plus different guests a year. Residential upholstered seating in a guest room typically looks tired within 18 months and is structurally done in three years. Contract-grade frames pass BS EN 16139 / BIFMA X5.4; specify them from the start.

Martindale is the headline number, but it is not the only one that decides how guest room seating ages. A fabric can pass 80,000 rubs and still look poor after a season if it is the wrong weave for the job. For armchairs and sofa beds that take direct skin contact, a tight flat weave or a performance velvet with a stain-resist finish holds colour and texture far longer than a loose bouclé, which catches on zips and luggage. Pilling resistance (a separate test) matters as much as abrasion on dark fabrics, where bobbling shows under low room lighting. For 4 and 5-star work, ask the mill for the lightfastness grade too — seating placed by a window in a sun-heavy market will fade unevenly within two years if the dye is below grade 5.
Cleanability is where housekeeping either thanks you or curses you for the next decade. Vinyl and polyurethane faux leathers wipe clean in seconds and suit desk chairs and ottomans that take spills, but they can feel cold and crack at the seams if the backing is thin — specify a contract-grade PU rated for hospitality, not an automotive offcut. Woven contract fabrics with a fluorocarbon-free water-repellent finish strike the usual balance for armchairs: warm to sit on, forgiving of coffee and make-up, and recoverable with a damp cloth. Where a property runs a strict cleaning protocol, HFC supplies upholstered seating with removable, zipped covers so a single soiled cushion can be swapped without pulling the whole chair out of service. We will send hanging samples of any fabric on the page in your scheme’s colourway before you commit a dye lot, because a swatch on a screen and a metre of cloth under your lobby lighting are rarely the same thing.
One practical note that saves money on large orders: keep the fabric count down. A scheme that uses two body fabrics and one accent across every armchair, sofa and ottoman in the building buys cloth in volume, reduces the dye-lot risk of a visible colour shift between rooms, and leaves you holding attic stock you can actually use for repairs. Buying residential armchairs
A high-street armchair looks identical in a render and collapses within two years of hotel use. Residential foam and joinery are not built for 300 different guests a year. Specify contract frames and 80,000-Martindale fabric.
Oversizing the chair for the room
A deep lounge chair that swallows a 22 m² standard room hurts the layout more than a smaller chair ever would. Match the seating footprint to the room, not to the showroom photo.
Skipping the sit-test sample
Comfort is the one thing you cannot approve from a drawing or a render. Always sit in a physical sample before signing off seat height, foam feel and back angle. This is the most-skipped and most-regretted step.
Forgetting FR upholstery
Many markets require fire-retardant fabric on hotel seating by law. Retrofitting FR after production is expensive and slow. Confirm EN 1021 / BS 7176 needs before the quotation, not after.
Mismatched dye lots across suppliers
When the armchair, ottoman and sofa come from three vendors, the “same” grey rarely matches in the room. Ordering all guest room seating from one factory keeps fabric, foam and finish consistent.
Ignoring the coffee table relationship
A beautiful chair next to a wrongly-sized table reads as a mistake. Specify the coffee or side table with the seating, at the right height and gap, so the corner works as one piece.

As a rule, allow about 60cm of table edge per guest for a comfortable cover. A 120cm round seats 6, a 140cm round seats 7–8, a 150cm (5ft) round seats 8, a 160cm round seats 8–10, a 180cm (6ft) round seats 10, and a 200cm round seats up to 12. Tighten the spacing for high-density events and add a cover or two per table.
76cm. That height matches the seat height of a standard banquet chair, leaves correct clearance for a place setting, and lets a floor-length cloth break cleanly at the floor. Every top in this range — round, rectangular and curved — is built to the same 76cm working height.
Yes, provided the mechanism is built for it. A commercial folding banquet table uses a welded 28×1.2mm steel frame, a steel ball-bearing leg lock that fixes the legs rigid once open, and a C frame that protects the mechanism while stacked. Built that way, a folding table carries full place settings and buffet weight with no flex and outlasts a fixed table that is handled half as often.
Round tops suit seated dinners, weddings and galas because conversation flows across the table and the room looks fuller. Rectangular catering tables suit buffets, conferences, classroom layouts and registration. Most venues hold both and use half-round and quarter-round pieces to join them into head tables and curved runs.
