The mock-up room is the final planning safeguard. For any project above twenty keys, HFC recommends furnishing one complete room to the approved specification before full production is released. The mock-up validates dimensions against the built room, confirms circulation and finish coordination across every trade, and allows the owner, operator, and interior designer to test durability and detailing in context. Corrections made in the mock-up room cost a single set of furniture; the same corrections discovered after full production cost the entire floor.
Bespoke

Standard catalogue uses existing HFC designs finished in your chosen laminate, veneer, lacquer, or fabric. It carries the shortest lead time and the most predictable cost, and suits operators who need a coordinated, contract-grade room without a bespoke design programme. Modified standard takes a catalogue piece and adjusts dimensions, hardware, configuration, or upholstery to fit the room and the brand. Fully bespoke is produced from your drawings or your interior designer's specification package, engineered by HFC for contract durability and manufacturability. Bespoke programmes are most efficient from around twenty keys upward, where the design investment is amortised across the room count.

Logistics
Manufacturing is only half of a contract order. Getting a full hotel guest room furniture package to site, intact and on schedule, is an export discipline in its own right.
HFC ships from Istanbul to projects across Africa, the Middle East, Europe, and beyond, and the commercial terms are agreed before production so there are no surprises at the port. Most projects ship FOB Istanbul / Ambarli, where HFC delivers the goods, cleared for export, onto the vessel and the owner's freight forwarder manages the sea leg. CFR and CIF terms are available where the owner prefers HFC to arrange and, under CIF, insure the ocean freight to the destination port. For turnkey programmes, DDP delivery to site can be quoted in cooperation with a destination partner. The right Incoterm depends on the owner's freight relationships and import setup, and HFC will recommend the most economical option for your route.
Container utilisation directly affects landed cost, so loading is planned, not improvised. Casegoods are engineered, where access permits, to ship knock-down or flat-packed, which raises the number of rooms per container and lowers the freight cost per key. A typical mid-scale room set loads efficiently into 40-foot high-cube (40'HC) containers; smaller phases or sample shipments use 20-foot units. The transit windows below are indicative sea-freight ranges from Istanbul and exclude port handling and inland haulage at destination.
Export packing is specified to survive a long ocean voyage and multiple handling points, not just the journey out of the factory. Finished surfaces are protected with foam and corner guards, edges are reinforced, items are individually wrapped, and fragile components are crated. Where furniture ships assembled, pieces are blocked and braced to prevent movement inside the container; where it ships knock-down, components are bundled and labelled by room and by item so that on-site assembly is a matter of following a sequence rather than solving a puzzle. Every carton is marked with the project reference, room type, and item code.
Documentation is prepared to clear customs cleanly. Each shipment is accompanied by a commercial invoice, a detailed packing list, the bill of lading, and a certificate of origin; for shipments to countries with a preferential trade agreement with Turkey, an EUR.1 movement certificate can reduce or remove import duty, which materially affects landed cost. Phased and progressive shipments keep large projects on programme. Rather than waiting for the entire order to finish, HFC dispatches in container loads from around the sixth week of production, at roughly two-week intervals, so installation can begin on the first floors while later floors are still in production. Phasing is planned around the site's installation sequence — typically lower floors or the show floor first — so that furniture arrives in the order the site can actually receive and install it.
Installation
A guest room is only complete when the furniture is installed, levelled, fixed, and signed off. HFC supports the full range of delivery models, from supply-only to supervised and fully managed installation.
How the furniture is installed is decided with the owner at the contract stage, because it determines cost, programme, and who carries the on-site risk. Supply-only delivers the furniture to port or to site for the owner's own fit-out contractor to install — the most economical model where a competent local contractor is already engaged. Supervised installation places an HFC supervisor on site to direct the local labour, resolve queries, and protect the specification during the critical first rooms. Managed installation provides an HFC-coordinated crew that handles the work end to end. The right model depends on the project's location, scale, and the owner's existing contractor arrangements.
Site readiness is the precondition for an efficient install. Furniture should not arrive before the room is ready to receive it, or the goods sit in storage absorbing damage and cost. HFC issues a readiness checklist so the site and the furniture programme stay synchronised.

Quality control runs across three stages. Incoming material inspection checks board, hardware, and fabric against the approved specification before anything is cut, because a defect in raw material multiplied across hundreds of rooms is the most expensive failure of all. In-process inspection on the factory floor verifies dimensions, joints, and finishes against the approved sample as production runs, so a drift is caught early rather than at the end of a batch. Pre-shipment final inspection checks finished goods on a sampling basis before packing, against the approved sample and the agreed acceptance criteria, and every consignment is photographed and documented before it leaves the factory.
Owners who appoint a third-party inspection agency — or who wish to inspect in person before shipment — are welcomed, not resisted. Because every piece is produced and checked against a physically approved mock-up, there is a single, agreed reference for what acceptable looks like, which removes the subjectivity that causes most contract disputes. The approved sample, not a photograph or a description, is the contract for quality.
Warranty. All HFC hotel guest room furniture carries a two-year structural warranty on casegoods carcasses and seating frames against manufacturing defects under normal contract use. The warranty is supported by the documentation and material certificates issued with the order, so a claim is assessed against an evidenced specification rather than a recollection.
Aftercare and spare parts. Because HFC holds the drawings, finishes, and specifications for every project, replacement and additional pieces can be produced to match the original rooms years later — essential for chains and branded properties that must maintain a consistent room product as individual items are damaged or refreshed. A spare-parts and replacement programme can be agreed at order stage for operators who keep a stock of high-wear items, and the same drawings make a future partial refurbishment — new tops, re-upholstery, or selected replacements — straightforward rather than a re-design exercise. The relationship is built to last as long as the furniture.
Avoid These
After delivering hotel guest room furniture packages to projects in over 40 countries, these are the procurement mistakes we see most often.
Whether it is 20m² or 40m², without the correct layout the room will be neither functional nor charming. Layout planning must happen before furniture is specified — always.
Residential fabric (~25,000 Martindale) fails within 18 months under hotel use. Always specify contract-grade, minimum 80,000 rubs for seating.
In tropical or coastal locations above 70% ambient humidity, you need a top quality adhesive for MDF and PVC side tape and humidity-stable surface finishes.
Sample approval should happen 8 weeks before production starts. Late changes can delay an entire hotel opening. Budget for 2–3 rounds of revision.
Many markets require fire retardant upholstery by law. Retrofitting FR fabric after production is expensive. Confirm local requirements before the quotation stage.
An experienced hospitality interior designer pays for themselves on any project above 30 rooms. They prevent costly specification errors, coordinate finishes across all trades, and ensure the final room photographs well — which directly affects booking rates.
